Konica Minolta transforms Tenix Solutions with integrated document management and stringent security solutions

Konica Minolta has worked with Tenix Solutions over the last four years to understand its specific privacy obligations regarding print, opportunities for business innovation and improving sustainability objectives.

The Challenge

With the need to modernise its printing and scanning capability, Tenix Solutions was seeking to partner with an organisation who could deliver a highly reliable product and service range. Increasing document security and privacy was a major priority to ensure Tenix Solutions remained compliant to Government privacy laws as the business is required to demonstrate utmost confidentiality of its documents and data in all locations including shared network devices at all times.

“We follow strict ZERO Harm Safety Standards to ensure safe work practices and ensure we are protecting the environment. We needed a partner that we could trust to implement a fully networked, cost effective solution while executing a solid security strategy to support our very sensitive customer base while maintaining our company’s sustainability values,” commented Christos Gatas, Facility Manager Tenix Solutions.

The Solution

After a thorough assessment, Konica Minolta recommended an integrated hardware and software solution for Tenix Solutions. This involved deploying 20 award winning bizhub devices, including the C654e, C454e and C364e and integrating them with Konica Minolta’s patented Page Scope Enterprise Suite (PSES) solution to provide greater print control to the business while standardising the user experience across all devices.

“We understand how easy it is for confidential information to be left lying around the printer for prying eyes. When you’re in our line of work you cannot be complacent with the privacy or security of information,” commented Christos.

Konica Minolta’s pull printing solution is ideal for Tenix Solutions as it dramatically reduces the privacy risk by allowing staff to control their print job with a swipe card. This also significantly diminishes printing costs as it reduces the amount of unclaimed paper ending up in the recycle bin.

“PSES is a multifaceted solution that has not only addressed our stringent security needs but has also eliminated unnecessary costs, streamlined business processes, increased staff productivity, enhanced information security and minimised our carbon footprint,” continued Christos.

An electronic document management solution, eCopy, will also be installed shortly to improve the organisations workflow by allowing direct access to folders at the device. Users are able to navigate files in the computer from the device itself, saving time and significantly reducing the impact on their Email Server by eliminating unnecessary storage of scanned material through their mail systems. This solution also provides a huge compliance benefit by monitoring and tracking each file sent to and from the device.

The Result

“The deciding factor for us was that Konica Minolta took the time to fully understand our business and assisted in implementing a tailored solution that really works for us,” added Christos.

What started as a need for greater security has developed into a more holistic and efficient print management solution that has delivered significant cost savings, sustainability, managed print services, workplace efficiency and increased productivity.

“This new integrated system is transforming our print environment into a safe, secure and eco friendly network. We were also impressed how Konica Minolta’s tailored solution was able to consolidate our printer fleet by almost 50%, from 38 MFP devices down to 20,” concluded Christos.
