The Challenge

  • New printers required
  • Flexibility critical

When it was time to upgrade its printers, Nielsen was looking for machines that were reliable and that wouldn’t break down. The business also needed fewer printers and copiers as a consequence of its focus on digitisation. Nielsen also needed a system that would let it track and report on employee printer use to allocate costs appropriately as well as help reduce the amount of money spent on printing. Tracking employees is always complicated. Paying a per-head license fee was expensive and accurate reporting was difficult particularly with contractors or new-hires not correctly recorded in the system.

The Solution

  • Konica Minolta colour A3 multifunction devices
  • Konica Minolta Finance
  • Y Soft SafeQ

Nielsen went to market for a competitive tender to upgrade its printers. Konica Minolta presented a solution which addressed reliability, functionality, and a lower cost-per-print.

Konica Minolta also recommended Nielsen implement the Y Soft SafeQ system, which is based on a per-machine licensing cost rather than per-user. This system provides a tracking and reporting functionality at a competitive cost.

The Benefits

  • Faster, cheaper printers
  • Reduced printing costs
  • Improved visibility into printer usage and cost allocation

Rita Helvadjian said, “The Konica Minolta machines are fast and reliable. We have a flexible rental contract so we can further reduce the number of printers if necessary or add others if we need to. Our Konica Minolta contact is fantastic. We’ve found the team very helpful and the relationship is very easy: we feel looked after.”

The Y Soft SafeQ system delivers detailed monthly reports that drive action such as reducing the amount of printing certain employees do.

Rita Helvadjian said, “We can give business users and managers a report that shows things like who is the highest printer user. We can use that information to identify whether people are printing unnecessarily and if there are ways to reduce the amount and cost of the printing they do.

Rita Helvadjian said, “In the past, we had to manually manage people’s access to printers, which was time consuming and not always efficient or accurate.”
